Help
Quick guides to the main jobs in AutoExport. Tap one to open it.
Adding a new carLog a car and its shipping details
- Open Stock cars and tap New stock car (on a phone, the round red + next to the title), or tap + Stock car on Home.
- Type the VIN, or tap Scan and photograph the VIN plate.
- Fill in the stock number, make, model and year. Colour, mileage and notes are optional.
- If you know them, add the shipping details: buyer, destination, ship date and booking reference. After that, change them on the car's Shipping tab.
- Tap Add to fleet. If that VIN is already in the fleet, you'll be warned first.
- Everything you type changes to capitals as you type, except in Team chat. Email addresses, passwords, phone numbers and links stay as you type them.
Free stock (S numbers)Log a car you've been offered, then buy it
- Open Free stock (the Free stock tab on a phone) and tap the round red +, or tap + Free stock on Home.
- The car gets an S number by itself (e.g. S48213). Fill in what you know. The VIN can wait. There are sections for more about the car, the supplier, pricing, our alias with the dealer (the name we give when we ring), and customer notes and lead, like the old call log. Tap Add free stock car.
- The Free stock page groups cars by status: New, Negotiating, Agreed and Lost. Tap a status at the top to see only those cars. To change a car's status, tap the coloured status on its row and pick the new one. There is no need to open the car. Lost cars start folded; tap Show to see them.
- UK, UAE and TIA cars: Stock cars shows every car. UK cars (AE numbers), UAE cars (IQN numbers) and TIA cars (TIA numbers) are in the menu on the left under Stock cars; on a phone use the All / UK / UAE / TIA buttons. It goes by the stock number, so there's nothing to pick.
- Share as advert: on a free stock car tap Share as advert, type the price to show, tick any spec PDFs, then tap Share to WhatsApp (on a phone the PDF goes with the message; on a computer the text is copied and the PDF downloads to drag in). Copy text only copies just the advert. Our buying price, the supplier and the buyer are never put in it.
- Cars marked Agreed show a Bought → stock number button on the list, so you can move them into stock without opening them.
- On the car's own page, tap a status under its name to change it. Offer details starts with the buying price and supplier, then shows everything else.
- Delivery mileage: for a car with delivery miles only, pick Delivery mileage next to the mileage box instead of miles or km. Free stock cars at 0 miles show Delivery mileage everywhere, including the stock sheet and adverts.
- You can add PDFs and photos straight away on the form, in Photos and PDFs: tap + Add PDFs or photos, or drag them onto the box on a computer. They're added when you tap Add free stock car.
- Later, in the Offer details box, tap + Add photos for pictures of the car (e.g. from the supplier) or + Add PDF for the spec sheet or other paperwork. On a computer you can also drag PDFs and photos straight onto the box. Tap a picture to see it full size.
- Add documents, notes and tasks as normal too. It shows who logged it, and it isn't counted as stock yet.
- UK cars and other countries: Free stock is split by the car's Country into UK cars and Other countries (Australia, India, Japan and so on). Use UK cars or Other countries under Free stock in the side menu (on a phone, the UK / Other buttons). A car with no country counts as UK.
- Monthly stock sheet: on Free stock, tap Monthly stock sheet. It makes a PDF of every free stock car that isn't Lost (no prices, suppliers or buyers), UK cars first and other countries in their own section below, ready to send to clients on WhatsApp or by email. Admins get a reminder in Notifications on the last day of each month.
- Free stock come off the list by themselves 28 days after they were logged. A week before, whoever logged it gets a notification and the car shows "Removed in 7 days". To keep it longer, open it and tap Keep 28 more days in the Offer details box. Nothing is deleted: an admin can restore it from Archived.
- When it's bought, open it and tap Bought: give it a stock number. Type its stock number: AE for a UK car, IQN for a UAE car, TIA for a TIA car. It moves into stock under that number, and keeps a note of its old S number.
Keeping a car's record completeRecord check, sign-off and arrival vs departure
- Open the car and look at Record check, near the top. It lists only what's still missing; tap Show all to see the finished items too.
- Under Documents, anything uploaded in Documents ticks itself off. For a paper copy tap Have; if the car doesn't need it tap N/A. Tap Undo to change it.
- When the drop-off or collection driver signs, fill in the mileage and the number of keys too.
- After an inspection is saved, an admin taps Sign off. Until then the car can't be marked exported.
- Tap Arrival vs departure to compare how the car came in with how it is now, and download it as a PDF if you need to show someone.
Arrival checkWalk round a car as it comes in
- When a car comes in, open it and find Arrival check near the top. Tap Start check.
- Walk round the car. For each area (front, rear, both sides, roof, wheels and tyres, glass and mirrors, lights, interior, boot) tap OK, or Marked if there's damage or something to note, and say what it is.
- For anything marked, tap + Photo to take a picture of it.
- Pick who did the check (it starts on you), type the name of the driver who brought it in, fill in the mileage and number of keys, and add anything else under Anything else.
- Tap Confirm check. It saves the time and who did it, and can't be changed afterwards. If you need to do it again, tap Check again; the earlier check is kept underneath.
- For a close-up record of damage, use the Damage map and the checklist photos as well.
Notes on a carA running list the whole team sees
- Open the car and tap the Notes tab.
- Type your note and tap Add note. It saves the date, time and your name, and everyone on the team gets a notification. Tapping it opens the car's notes.
- Type @ to mention someone by name.
- The newest note is at the top. A red dot on the Notes tab means someone has added a note you haven't read yet.
- You can delete your own notes; an admin can delete any.
Tasks and remindersJobs to do on a car, with due dates
- Open the car and find Tasks, just under the timeline.
- Type the job, e.g. "Valet" or "Chase V5C". Pick a due date if it has one, then tap Add.
- Tick the box when it's done. Overdue tasks turn red, and anything due today is in the morning notification.
- Cars with open tasks show it on their fleet card, so nothing gets forgotten.
- To give a task to someone, type @ and pick their name, e.g. "@Natalie arrange a video". They get a notification, and tapping it opens the car.
Team chat, groups and @mentionsChats like WhatsApp: groups, one-to-one, replies, photos and ticks
- Open Chat (bottom of the screen on a phone, or Team chat in the menu on a computer). It works like WhatsApp: your chats on the left (on a phone, the list first), the open chat on the right.
- Everyone is the whole-team chat and stays at the top. Below it are your groups and one-to-one chats, newest first, with a red number for unread messages. Use the search box or All, Unread, Groups and People to find one.
- Type a message and tap the red arrow (or press Enter on a computer). On a phone tap the back arrow to return to the list.
- New chat: tap +, then pick a person for a one-to-one chat, or New group to name a group and tick who is in it. Only people in a chat see it (admins can read every group, but not one-to-one chats).
- Tap the chat's name at the top to see who is in it, change it, leave it or delete it.
- Reply: tap a message (or hover on a computer) and pick Reply. Your answer shows the message it replies to; tap the quote to jump to it.
- Photos and files: tap the paper clip. Whatever is typed in the box is sent with it. Tap a photo to see it full size, or a file to download it. Files up to 20MB.
- Emoji: tap the smiley next to the message box.
- Ticks: one grey tick means sent, two grey ticks means someone has read it, two red ticks means everyone in the chat has read it. Tap a message to see exactly who.
- Type @ and pick a name to mention someone. In Everyone only the people mentioned get a notification (@everyone tells the whole team); in a group or one-to-one chat everyone in it is told.
- When someone mentions you, it shows on the Notifications page (the bell on a phone). Tick tasks done right there.
- When a task that mentions someone is ticked done, the person who set it and anyone mentioned get a notification.
Damage map, compare and re-checkMark damage and spot what's new
- Damage map: on the car's page, choose Left, Right, Front or Rear, tap the outline where the damage is, describe it and add a photo. Tap Fixed once it's repaired.
- Compare: under a checklist photo, tap Compare with last time to see it next to the same shot from the previous inspection.
- Re-check failed only: after a failed inspection, tap it above the checklist to show just the checks that failed. Tap Show all checks to go back.
Car checklistTick off each step a car goes through
- Open a stock car and choose the Checklist tab (Check on phones).
- Tick a step when it's done, for example Supplier paid or Shipping booked. Under it you'll see who ticked it and when.
- Untick it if it was ticked by mistake. Every tick and untick goes into the car's history.
- Admins can change the list of steps in Settings, under Car checklist steps.
- On a computer, the Stock cars table shows how many photos, videos and documents each car has.
Spec sheets and shipping progressBuyer PDFs and where a car is
- On the car's page, tap Spec sheet to download a PDF with its best photos and details, ready to send to a buyer.
- To update shipping, tap Edit and set Shipping progress: Booked, At port, Sailed or Arrived.
- Clients see the shipping progress on their link, with a WhatsApp button to reserve the car.
- Shipping tab on each car: tap the stage it's at, and fill in ship date, destination, booking ref and client, then tap Save.
- Consignee and notify party: on the Shipping tab, type each one's name, address and contact and tap Save; the booking form starts with them. Under each, Add passport, ID or proof uploads a photo or PDF.
- Collecting driver's licence: on the car's Overview, under Handover signatures, tap Add driver's licence. None of these uploads are required.
- Booking form: tap Fill in booking form. Pick a second car if two are going together, fill in the rest, then Save as PDF. It goes into the car's documents and downloads a copy. Save for later keeps a half-finished form on the car.
- Emailing it: tick the invoices and papers to send at the bottom of the form (or add new ones), then tap Send email. Pick the shipping company (an admin adds them, with their email, in Settings), check the email, and tap Send. It goes from info@iqonperformance.co.uk.
Doing an inspectionWork through the 44 checks and save
- Open the car. The dark Next step card shows the one thing to do next (finish the checklist, fix failed checks, add paperwork or book shipping). Tap its button to go straight there.
- Open the Checklist tab.
- For each check, take a photo and tap Pass, Fail or N/A. If something fails, say what you found in the box that appears.
- Quicker: once you've photographed a section, a green bar under its heading says how many photographed shots have no answer yet. Mark any Fails first, then tap Pass all on the bar. Shots without a photo, and anything marked Fail or N/A, are left as they are.
- Sections that are fully answered are folded when you open the car. Tap a heading to open it.
- The AI looks at each photo and suggests a note if it spots damage.
- Photos, answers and notes are shared with the team by themselves a few seconds after you take them, and as soon as you leave the car, so anyone opening it sees them. Tap Save inspection when you're done: you'll be told if any shots are missing a photo, and the team is told it's finished.
Guided shootThe fastest way to take every photo
- Open the car and tap Guided shoot next to Checklist.
- Allow the camera if asked. An outline shows how to line up each shot.
- For outside shots, turn your phone sideways so the whole car fits.
- Tap 0.5× (top left) for the ultra-wide lens, handy for tight interiors and getting the whole car in. Tap it again for 1×. It only shows on phones that let apps use the ultra-wide lens.
- Tap the big white button to take each photo. It moves on to the next shot by itself. Swipe or use the arrows to go back or skip.
- The bar at the top has a segment for each shot in the section: white is done, red is failed. Tap the list button (top right) to jump to any shot.
- If a shot shows damage, tap Fail before moving on. When you finish or close the guided shoot, you'll be asked whether to mark all the other photographed shots as Pass.
Sending photos to Google PhotosSend to each car's Stock or Client album
- Tap photos to select them, use Select all on a section of the checklist, or Select all photos at the top of the checklist to pick every photo on the car at once.
- A bar appears at the top of the checklist with everything you picked, from every section. Tap Send all to Stock Photos or Send all to Client Photos. Each car gets its own albums automatically.
- Wait for the progress bar to finish before sending the next batch.
Handover signaturesDrop-off and collection drivers sign for the car
- Open the car and find Handover signatures.
- When a car is dropped off at the showroom, tap Sign next to Drop-off at showroom and hand the phone to the person dropping it off.
- When a driver collects the car for export, tap Sign next to Collection for export and hand the phone to the driver.

- Tap Record to film it inside AutoExport. Tap the red button to start and again to stop, then watch it back and tap Use video (or Retake). Tap 0.5× for the ultra-wide lens.
- Or tap + Add video to use the phone's own camera or pick a video you've already filmed.
- If you leave the app or lock the phone while recording, it stops and keeps what was filmed. Recordings can be up to 10 minutes.
- It's saved in AutoExport. Keep the page open and your screen on until the progress bar finishes. A long video can take a few minutes on mobile data, so use Wi-Fi if you can.
- To put it in Google Photos, tick the box next to the video (you can tick several), then tap Send to Stock Photos or Send to Client Photos, the same as checklist photos. Nothing is sent on its own.
- The car page then shows who sent it and when. Share the Client album with the client the way you normally do.
- Tap the video's picture to play it on the car's page, or Download to save it. If a computer can't play it, you'll see a Download button instead.
- Videos sent before 5 Oct are only in Google Photos: tap Open to watch them there (signed in to the business Google account).
- Tip: on iPhone, set Settings → Camera → Formats → Most Compatible, so the video also plays if it's downloaded onto a Windows computer.
- If you mark a car exported without a departure video or the driver's collection signature, the app checks with you first.
- Other videos: when you tap Record or Add video, pick what it is (Departure, Arrival, Walk-round, Engine start, Interior, Underneath, Damage or Other). Only the departure video goes on client links. You choose which album each video goes to by ticking it.
Sharing a car with a clientA private link, no account needed
- Open the car and tap Share with client.
- Choose how long the link should work, then tap Create link. It's copied so you can paste it into a message.
- The client sees the car's details, check results and photos. They don't see your notes, documents or prices, and they can save it as a PDF.
- You can see whether they've opened it, and tap Stop sharing at any time.
DocumentsV5C, invoices and export papers
- Open the car and find Documents.
- Viewing a document: tap View (or the document's name) to open it inside AutoExport without downloading it. PDFs show every page; photos and check proofs open too. Use the arrows, or swipe on a phone, to go to the next document. Download is at the top when you need the file itself. Payment proofs and due diligence files open the same way.
- Pick the type of document, then tap + Add document and choose the file or take a photo of it. On a computer you can also drag files onto the Documents box.
- Drag and drop: on a computer, drag files from your desktop onto any box that takes them (photos, videos, the Shipping tab, ID and licence boxes, arrival areas, payment proof, due diligence checks, Team chat). The box lights up red when it will take them.
- Tap Open to view one. Documents are only visible to the team.
- Tap Note next to a document to add a short note about it, e.g. "Original with the owner, copy only". Tap Edit note to change it.
- Use Notes underneath for anything about the paperwork, like "V5C is with the owner". Type it, then tap Save notes.
- Tap Download all to get every document on the car in one zip file.
- Expiry dates: tap Expiry next to a document and pick the date it runs out. It shows on the document, and Notifications reminds you 30 days before.
- Record pack: tap Record pack at the top of the car (on a phone: More → Download car record pack) to get everything on the car in one zip: the condition report, all photos, every document, the notes and the arrival check.
- Paperwork: on each car, mark a paper Have (received), Sent (passed on, e.g. export papers to the agent) or N/A. The Documents page (under Shipping in the menu, or More on a phone) lists every car still missing something.
- Payments: on the car's Money tab, tap Add payment. Choose We paid supplier (e.g. the deposit) or Client paid us, enter the amount, currency, date and who, and add the screenshot as proof. Admins see the car's costs on the same tab.
Finding cars quicklySearch, scan, filters and list view
- Type a VIN, stock number, make or model in the search box, or tap the scan button next to it and photograph a VIN plate.
- On a phone: pull down at the top of a page to refresh it. Swipe a row to the left for its quick action: a task is marked done, and free stock and enquiries open their status.
- On a phone, sort, the other filters, Select, Archived and saved views are behind the Filters button next to the search box. A number on it shows how many filters are on.
- Stock mailing list: tick Stock mailing list on a client's record to put them on it. At the end of the month an admin gets a reminder: open Free stock, tap Email stock list, check the message and who's on the list, then Send. Each person gets an email with the stock sheet PDF and a link to take themselves off the list.
- Who's on the list: on Clients or Contacts, pick the Mailing list filter. Export CSV then downloads just those people with their emails.
- Clients signing themselves up: in Email stock list, use Copy link or Share to WhatsApp to post the sign-up page in your client groups. Anyone who fills it in is added as a client and put on the list (or ticked, if their email is already on a contact).
- Spec / trim: type the base model in Model (for example DEFENDER 110) and the derivative in Spec / trim (OCTA EDITION). Admins see a note on Stock cars when cars have the spec typed into the model, and Review and fix (also in Settings) moves it across after they check each car.
- Days in stock: every stock car shows how long it has been with us (from when it was bought). It turns amber at 60 days and red at 90. Choose Longest in stock in the sort list to see the slow ones first.
- Tap the filters at the top: All, In stock, Needs work (pending, in progress or failed), Ready (passed) or Gone (exported, sold locally, left the showroom or collected). The Status box picks one exact status.
- TIA cars go straight from the supplier to the client, so they have no inspection. They show as Direct to client; add pictures under Photos → Car photos, and the documents as usual.
- Tap Status on a car and choose At showroom when it's at the showroom (it shows an At showroom badge; tap Status again for Not at showroom). When a car leaves, even one that never came to us, tap Status and choose Left showroom, Exported (shipped abroad), Sold locally (sold in the UK) or Client collected (the client picked it up). In Select on Stock cars, Status does the same for several cars.
- Tap Shipping soon to see cars due to ship in the next two weeks.
- Tap List for a compact view, and Select to mark several cars exported at once.
- On a phone, use the tabs along the bottom: Home, Stock (stock cars, with Free stock next to it), Sales (enquiries), Chat and More (tasks, calendar, free stock, suppliers, clients, contacts, shipping, documents, reports, team, updates and settings). The bell at the top is Notifications. Use ‹ Back at the top to go back.
- A car's page has these tabs: Overview (details, record check, tasks, signatures), Photos (VIN plate and inspection sheet photos at the top, then the photo checklist), Documents (documents, videos, damage map and Drive links), Shipping, Money (payments, and costs for admins), Checklist (tick steps; the ones the car already shows as done tick themselves) and Notes.
- The search box also looks inside notes, tasks, documents, the inspection (including AI photo notes) and arrival checks. A car found that way shows Found in… with the words it matched.
- Several cars at once: tap Select, tick the cars, then use Add task (the same task on each) or Record packs (one download with a folder per car).
The Notifications pageEverything that needs you, in one list
- On a computer, click Notifications in the menu on the left. On a phone, tap the bell at the top of the screen.
- It lists: a new version of the app (tap to refresh), times you were mentioned, your tasks due today or overdue, new notes on cars, and free stock cars you logged that come off the list within a week.
- The morning digest, the monthly summary and (for admins) each nightly backup arrive here too. Tap one to read the whole report. Older ones stay here, so you can look back.
- Use All · Daily · Monthly · Alerts at the top to show just one kind.
- A red number shows how many are new. Reports stay new until you open them; tap Mark all as read to clear everything.
- Tap any notification to go straight to the report, the car, the chat or the update.
- Choose what you're told about: Settings → What you're told about. Turn each kind on or off in the app and as pop-ups, and set Quiet hours so nothing pops up overnight.
- You'll also see documents that run out within 30 days, and cars you added over a day ago that still haven't had an Arrival check.
Notifications on your phoneGet told when things happen
- On iPhone, first add AutoExport to your home screen: in Safari tap Share, then Add to Home Screen, and open it from there.
- Go to Settings and tap Enable notifications, then Allow.
- You'll hear when inspections are saved, cars are added or exported, notes are added, and each morning if any cars need attention. Each one shows "from AutoExport" under the title.
- On iPhone, the AutoExport icon shows a red number for notifications you haven't opened. Opening the app clears it. If you don't see a number, check Settings → Notifications → AutoExport → Badges is on.
If something doesn't look rightQuick fixes to try first
- Fully close the app and open it again. This picks up the latest version.
- Check Updates to see what's changed recently.
- If photos won't upload, check you have signal. Your work is kept on your phone and saves once you're back online.
- No signal? Notes and arrival checks are kept on your phone and send by themselves once you're back online. A bar at the bottom says how many are waiting. Checklist changes already worked this way.
- Forgot your password? On the sign-in screen tap Forgot password?, enter your work email and tap Send reset link. Open the email on the same device, type a new password twice and tap Save. No email? Check spam, and wait a few minutes before asking again.
Clients, suppliers and contactsKeep the people and companies you deal with
- Open Clients, Suppliers or Contacts under Sales in the menu (on a phone: More).
- Clients are people who buy from us, added one by one with a first and last name. Link each to a company if they have one. Suppliers holds every company. Contacts holds every person, marked Client, Supplier or Dealer, with a filter for each.
- Tap New client (or New supplier, New contact). Fill in what you know and tap Save. On a contact, tick Client, Supplier or Dealer (any that apply).
- Assign a stock car to a client: on the car, Sell this car (in More) → Set the client only, or select several cars on Stock cars and tap Assign to client, or open the client and tap Assign a car. A new name is added to Clients; a name that is already saved is linked.
- If it looks like one you already have (same name, email or phone), you'll see it. Tap Open to use that one, or Save anyway.
- On a company, tap Add contact for the people there. A contact can have several phone numbers and emails, and a WhatsApp number.
- On a contact, Call, WhatsApp and Email open your phone or email straight away.
- To link a free stock car to a saved supplier, tap Edit on the car and use Pick saved supplier. The car then shows on the supplier.
- Something no longer needed? Tap Archive. It disappears from lists but can be restored from Archived. Only admins can delete for good.
EnquiriesFollow each sale from enquiry to delivery
- Matching cars: an open enquiry lists the stock cars and free stock that fit the make and model in its name or notes. Tap Add to put one on the enquiry, or tap the car to open it (for example to share it as an advert).
- From a WhatsApp chat: on Enquiries tap From WhatsApp, paste the messages you copied in WhatsApp and tap Fill in the lead. The client, their number, what they want, budget, country and a follow up today are filled in for you to check; the chat is saved on the lead as a WhatsApp note. On Android, with AutoExport on your home screen, you can also share the messages straight to AutoExport.
- Open Enquiries (the Sales tab on a phone, or Sales in the menu on a computer). Tap New lead, give it a name, type the client or contact (a new name is added when you save), the Source (pick one, or type a new one and it is added to the list), who it's assigned to and the next follow up.
- Each record goes Lead, Opportunity, Quote, Order. On the record, tap Convert to … to move it on. Everything on it carries across and its history stays.
- Status is New, In progress, Discussed, Quoted, Won or Lost: tap Status on the record, or the status in the list.
- Every open record needs a next follow up. Tap Follow up to set it. Follow-ups due lists yours, overdue first; Home and Notifications show the ones due.
- You see your own records first (Mine); Everyone shows the whole team's. On a computer the list is a table; tap Board for columns by phase and drag a record to convert it.
- Orders keep their order date. Their delivery (Deposit paid, Shipped, Delivered) is changed with Change on the record; a client deposit moves it to Deposit paid by itself.
- Add the cars on the deal with Add car, or from a car: Sell this car (under More) → Add to a deal. A car can be in more than one deal; you'll be told when it is.
- When a car on a deal sails or arrives, the deal shows a reminder to move it on. Nothing moves by itself.
- The Timeline on each record shows calls, notes, tasks, status changes, conversions and follow ups, with who and when.
- From a stock car: Sell this car (under More) → Create order picks the client, order date and next follow up, makes the Order with the car on it, and sets the client on the car.
- On a Free stock car, Convert to order asks for its stock number, moves it into stock and makes the order for the contact you pick, in one go.
- A contact's page lists their leads, opportunities, quotes and orders, their quotes, and every car they've bought or have on order.
Tasks, calls and notesKeep track of what to do and what was said
- Open Tasks (under Calendar in the menu, or More on a phone). Mine is what was given to you or set by you; Everyone is the whole team. Tasks are grouped by when they're due.
- Tap New task. Pick a type (Call, WhatsApp, Email and so on), a due date, and Link to… a deal, client, contact or car, or leave it on its own. Type @ to give it to someone.
- Tap the box to tick a task done. Postpone moves it on by a day or a week.
- On a client, contact or deal, use the Timeline box to log a note, call, WhatsApp, email or meeting. Change When if it happened earlier. Only people you @mention are told.
- The timeline shows notes and calls, tasks added and done, and changes such as stage moves, newest first. A client's timeline also shows its contacts and deals.
- You can change or delete your own note until it locks, the same as car notes.
- On a car, the Notes tab now has the same choice of Note, Call, WhatsApp, Email or Meeting.
Supplier due diligenceCheck each supplier once a year
- Open Suppliers (Sales in the menu, or More on a phone). Each supplier shows its due diligence: Valid, Due soon (runs out within 30 days), Expired, Not started or Rejected. Expired and Due soon are at the top.
- Open a supplier and tap Start due diligence. Tick each check and tap Add file to attach the proof. Choose a risk rating and an outcome, then tap Save. Next due is set to a year later; change it if needed.
- Next year, tap Renew. The new record starts with last year's ticks, risk and notes, so only add this year's files and change what's different. Every year stays in the history.
- Check now next to Sanctions check, VAT / tax proof and Company registration proof runs a free check and adds the result as a file: sanctions screens the supplier and its people against the UK and US sanctions lists (updated every night), VAT checks an EU VAT number with the EU, and company registration finds the company on the global LEI register. A check that passes is ticked for you; anything else, review before ticking. The same checks are on every client, supplier and contact under Checks.
- Only admins and Procurement can add or change due diligence. Everyone else can see it.
- On a car, tap Edit and pick its supplier. The car shows the supplier's status, and a warning if due diligence wasn't valid when the car was bought.
- If the supplier sends everything as one PDF, add it under Full due diligence pack at the top of the form.
- Every stock car needs a Due diligence check document (cars exported or sold before 9 October 2026 don't). It shows as missing until a file of that type is uploaded under Documents. - Open a deal and tap New quote. It is a record of what we quoted the client: the deal's cars are already there as lines; add shipping, duties or anything else with Add line, fill in the prices, the currency, the date and how long it is valid. Invoices are done in Xero.
- Tap Save quote. It shows on the deal with its number (e.g. Q26-0012) and total.
- Older quotes made before this change keep their PDF: More → Download the old PDF.
- Under More on a quote: Edit, Revise (makes version 2 and keeps the first), Mark accepted or Mark declined. Accepting sets the deal's value.
- Tap Add payment on the deal for money in from the client or out to a supplier, with or without a car. A client Deposit reserves the deal's cars and moves the deal to Deposit paid.
- Reserved cars show a Reserved pill in Stock cars and on the car. If the deal is lost or archived they're released; an admin can also tap Unreserve.
